Terms & Conditions

These Terms & Conditions apply to every tour operated by Wiredonkey Cycling Tours. Upon confirmation of a booking we issue a Tour Booking Agreement setting out the tour, dates, participants and price. Where the signed Tour Booking Agreement and these terms differ, the signed agreement takes precedence.

1. The Company

Wiredonkey Cycling Tours is the trading name of:

1.1 The Company is represented by Peter Illés, who also acts as tour leader and guide, holding tour guide licence registration no. IV-04871/2023.

1.2 In these terms, "we", "us" and "our" mean C4WEB STUDIO SRL trading as Wiredonkey Cycling Tours. "You" and "your" mean the person making the booking and, where the context requires, all persons travelling under that booking.

1.3 All correspondence should be addressed to [email protected]. We respond personally, ordinarily within 24 hours.

2. Eligibility to book

2.1 You must be 18 years of age or older to make a booking.

2.2 Where you book on behalf of other participants, the contract is formed with you. You confirm that you are authorised to accept these terms on behalf of every participant named on the booking, and you are responsible for conveying our information to them.

3. Booking and confirmation

3.1 An enquiry submitted through this website does not constitute a booking. We first confirm availability and revert to you.

3.2 Where the tour is available, we issue a Tour Booking Agreement for signature. The booking is confirmed once that agreement has been signed and the deposit received.

3.3 Our tours operate as open groups, subject to the minimum and maximum number of participants stated on the relevant tour page. Most tours operate with between 2 and 8 participants.

3.4 Pricing is determined by the final group size, and the per-person price may therefore change should the group grow or reduce. Your Tour Booking Agreement sets out the price applicable at each group size.

4. Prices and payment

4.1 All prices and refunds are calculated in EUR. Where your bank or card provider converts to another currency, the rate applied is theirs and lies outside our control.

4.2 A per-person deposit is payable by the date stated in your Tour Booking Agreement, by bank transfer or by credit card through a payment link. Bank and transaction charges are borne by you.

4.3 The balance is payable at the conclusion of the tour, in cash (EUR, USD or RON), by bank transfer, or by payment link.

4.4 The deposit constitutes partial payment for services reserved on your behalf and for administrative costs incurred at the time of booking, including accommodation holds, logistical planning and support arrangements.

4.5 You agree to contact us and allow a reasonable opportunity to resolve any payment issue before initiating a chargeback or payment dispute with your bank or card provider.

5. Price changes after booking

5.1 Following signature of your Tour Booking Agreement, the price may be revised only where transport costs, taxes or fees change, or where exchange rates move significantly.

5.2 No price increase will be applied within 20 days of the tour start date.

5.3 Where an increase exceeds 8% of the tour price, you may terminate the booking and receive a full refund of all sums paid.

5.4 The limits in clauses 5.2 and 5.3 are set by Romanian Government Ordinance no. 2/2018, implementing EU Directive 2015/2302 on package travel.

5.5 Price adjustments arising from the final group size are governed by clause 3.4 and not by this clause.

6. Cancellation, transfer and refunds

6.1 Where you cancel more than 30 days before the tour start date, the deposit is 70% refundable.

6.2 Your booking is fully transferable to another person up to 30 days before the tour start date. Notify us of the replacement participant and we will amend the documentation.

6.3 Within 30 days of the tour start date the deposit ceases to be refundable. As the balance falls due only at the conclusion of the tour, the deposit represents the full extent of your liability on a late cancellation.

6.4 No refund is given for non-attendance or for late arrival once the tour has commenced.

7. Cancellation or alteration by us

7.1 Should we cancel a tour for any reason, all sums paid are refunded in full.

7.2 Every tour requires a minimum number of participants. Where that minimum is not reached, we will notify you no later than 10 weeks before the start date and offer either an alternative tour or a full refund.

7.3 We may adjust the itinerary in response to weather, road conditions or other circumstances beyond our control. The tour is regarded as delivered provided the core services described on the tour page are supplied, notwithstanding day-to-day adjustments to the route.

8. Circumstances beyond control

8.1 Neither party is liable for failure to perform where that failure results from circumstances that could not have been avoided, including war, civil unrest, terrorism, industrial action, natural disaster, severe weather, fire, flood, epidemic or pandemic, border closures, vehicle breakdown, and airport or transport disruption.

9. Scope of our responsibility

9.1 Our responsibility begins at the meeting point stated in your itinerary and ends at the conclusion of the tour. Travel to the meeting point and homeward travel are arranged and paid for by you, including flights, rail travel and any accommodation before or after the tour.

9.2 Airport transfers are not included in the tour price. We are able to arrange a transfer at cost; please request a quotation before booking.

9.3 We recommend allowing a margin in your travel arrangements. Where a delayed connection causes you to miss the start of the tour, the cancellation provisions in clause 6 apply.

10. Health, fitness and special requests

10.1 Our tours are active holidays. Every participant must be in suitable physical condition for the route booked. Distances, elevation and surfaces are stated on each tour page and should be assessed realistically.

10.2 You must notify us in writing, before booking, of any medical condition, disability, reduced mobility or allergy affecting riding, diet or accommodation. Any material change in health after booking must be notified to us without delay.

10.3 Special requests are noted and accommodated where possible, but are binding only where confirmed by us in writing.

10.4 Where we are unable to accommodate a participant safely, we reserve the right to decline or cancel the booking.

11. Your insurance

11.1 Every participant must hold travel and medical insurance for the duration of the tour.

11.2 As a minimum, that insurance should cover medical expenses and repatriation, baggage, and bicycles, equipment and electronic devices, and should remain valid for the full duration of the tour plus at least one further day.

12. Our insurance

12.1 We hold public liability insurance with Groupama Asigurări S.A., subject to a limit of EUR 1,000,000 in aggregate and EUR 500,000 per event.

12.2 That policy is our cover and does not extend to participants. It does not replace the insurance required under clause 11.

13. Risk and liability

13.1 Cycling carries inherent risks that cannot be eliminated, including traffic, weather, road surfaces, mechanical failure and physical exertion. By booking, you accept those risks.

13.2 We are not liable for injury, illness, loss or damage arising from risks inherent to cycling and travel, save where caused by our gross negligence.

13.3 Nothing in these terms limits our liability for death or personal injury caused by our negligence, nor any right afforded to you under Romanian law that cannot be excluded.

13.4 Subject to clauses 13.2 and 13.3, our liability in respect of any other claim is limited to three times the price of your tour.

14. Conduct on tour

14.1 The following apply to every participant:

  • Helmets are compulsory and must be worn at all times while riding. A participant without a helmet may not join the group on the road.
  • Headphones and mobile telephones are not to be used while riding.
  • The traffic laws of the country in which you are riding must be observed, together with the guide's instructions on the road.
  • Participants must ride within the group rules agreed at the start of the tour.
  • Alcohol consumption is to be kept moderate on riding days.
  • Bicycles, equipment and accommodation are to be treated with care. Where damage or loss exceeds ordinary wear and tear, we may require a contribution towards repair or replacement.

14.2 We reserve the right to require a participant to cease taking part, or to leave the tour, where their conduct or condition endangers others or materially impairs the tour for the remainder of the group. In such cases no refund is due, and onward travel and accommodation are arranged and paid for by that participant.

15. Optional activities and third-party services

15.1 Any service not described on the tour page and not arranged by us — including independent excursions, bicycle hire booked directly, and additional nights before or after the tour — constitutes a contract between you and that supplier. We may offer recommendations, but accept no liability for such services.

16. Assistance while travelling

16.1 Where you encounter difficulty during a tour, we will provide assistance without undue delay, including information on health services, contact with local authorities or your consulate, assistance with communications, and alternative travel arrangements.

16.2 Where the difficulty arises from your own negligence, we may charge a fee not exceeding the actual cost incurred by us.

17. Photography

17.1 We record photographs and video during tours and use this material on our website, in our newsletter and on social media. Participants who prefer not to appear should notify the guide at the start of the tour, and will be excluded from such material.

18. Complaints

18.1 Complaints should be raised with the guide during the tour, so that they may be addressed at the time.

18.2 Where a complaint remains unresolved, it should be submitted in writing to [email protected] within 14 days of the conclusion of the tour.

19. Data protection

19.1 Our handling of personal data is set out in our Privacy Policy.

20. Governing law

20.1 These terms are governed by the laws of Romania.
